Colleagues and Supervisors of biweekly paid employees,
New time clocks will be installed across campus beginning June 22 for employees who use time clocks to record their work time. Installation will be prioritized at locations primarily serving employees moving to the CalKronos timekeeping system to ensure clocks are fully operational before the CalKronos go-live, effective July 19. Every effort will be made to minimize service disruptions during the installation process.
These new time clocks will be used by all time clock users (both those who use the CalTime and CalKronos timekeeping systems). A middleware solution will route punches from the time clocks to the appropriate timekeeping system for each employee. Employees will continue using CalTime until their transition to CalKronos on July 19 or to the Time Reporting System (TRS) in October 2026. This approach allows the new clocks to be deployed in advance while supporting multiple timekeeping systems during the transition period.
Job selection at the new time clock will appear as follows:
- For CalTime users: Friendly Name used for job transfers = (example) 'EAEDU-004919-10'
- For CalKronos and later TRS users: Position used for job transfers = (example) ''PHYS PLT LABORER GARDENER LD”
Instructions will be posted at the time clocks as they are installed. Be sure to review these with your employees!
NOTE: New Time Clocks can ONLY be used for Punch In & Punch Out actions. Employees will need to approve and review their leave balances, if applicable, on the web.
Additionally, approximately 23 locations will not have new time clocks installed and will instead be decommissioned at the end of calendar year 2026. These locations currently have 14 or fewer users, which does not meet the minimum threshold for clock eligibility. If you believe a time clock is still needed at one of these locations, please email caltimetransition@berkeley.edu with a description of the employee population requiring continued access to the clock, along with the business justification for maintaining a clock at that location.
