What are the advantages and disadvantages of each option?

  • TRS:  Cost-effective, meets most requirements, already in use by six other UC campuses, offers potential for greater control to implement new functionality in the future, tailored to Higher Education needs. Minor gaps that can be addressed. No request for proposal required. It’s a proven solution with a long track record pre-built for both non-represented and a majority of our represented employee collective bargaining agreements (i.e., as close to plug and play as you can get for a software implementation).

  • UKG PRO WFM (Kronos replacement product):  Meets existing requirements, offers advanced features, familiar to current users. Expensive licensing fees with increasing costs where most of the new features are not necessary or would not be used by the campus (i.e., higher risk of cost-waste to the campus that could be diverted back to the academic and research mission). No request for proposal required.

  • PeopleSoft Fluid Timesheets: Offers basic timekeeping; however, it was immediately eliminated as an option due to significant gaps and system limitations compared to our current CalTime system, identified during the demo of the product.

  • RFP for other solutions:  Allows exploration of a wider range of solutions. Extends the project timeline, limited availability of suitable timekeeping solutions for higher education, according to Gartner Marketing. Gartner's global network of research analysts provides analysis to support decisions.
